Position Summary:
The Campus Experience Coordinator and Office Administrator promotes Salem Academy and College to prospective students and organizations through the coordination of campus visits and providing an exceptional experience for prospective students and their families by informing prospective students and on campus visitors about the Academy and College’s culture, mission, and life on campus. This requires coordinating and planning interactions with faculty across campus as well as managing all student Admissions Ambassadors. In addition, it requires assistance with arranging some admissions counselor travel and support of counselors in routine admissions tasks as they convert applications into enrolled students.
The person in this position is also responsible for planning and participating in on-campus and virtual recruitment programs for the Academy and College. The execution of this position will require daily presence at the admissions’ front desk, as well as a flexible schedule with activities that take place in evenings or weekends. This position works with other staff to assure enrollment goals are met regarding applications, acceptances, and enrolled students. Among the most important traits is a high level of excitement and infectious optimism and positivity about Salem College, undergraduate education, teamwork in a fast-paced environment, and the advising of students. This incumbent will also handle matters of significance and use discretion as necessary to ensure effective campus experience and coordination activities.
Essential Duties and Responsibilities:
- Oversee the Single Sisters Welcome Center including the scheduling and confirmation of daily visitors and special groups, as well as scheduling all aspects of the visit such as the time with an admission counselor, a campus tour, class visits and conversations with faculty members and coaches.
- Coordinate the scheduling of student volunteers who serve as Honor Guides giving campus tours.
- Serve as the front desk attendant for the Admission Office, fielding calls to the admission staff and staff members and faculty across campus.
- Host and assist with planning on-campus and virtual events to include campus visits and tours, open houses, information days, scholarship receptions and other on-campus events to help visitors get to know the campus and learn about the opportunities and advantages Salem Academy and College has to offer.
- Communicate with prospective students, school administrators, guidance and/or college counselors and other vital decision makers in the college planning process in person, via phone calls, written and electronic communication, or through current technology to develop and nurture relationships to encourage enrollment and attendance at Salem.
- Assist in training new admission counselors as to the campus environment and staffing nuances.
- Document all student interactions and information that will be beneficial in the recruitment and reporting process. Compile and assess data, develop and prepare reports of recruitment activities, successes and challenges to Admissions and Enrollment Management administrators.
- Assist with Academy recruitment activities and programs.
- Manage and oversee student workers in the campus store (The Mercantile)
- Schedule, lead and direct the work of a student employee who will help develop the territory’s application pool.
- Build relationships with faculty and Academy and College staff.
- Perform additional job-related duties as assigned or as appropriate.
Qualifications:
Required Qualifications:
- Bachelor’s degree.
- Strong computer skills to include proficiency in the following: Google suite, Microsoft Word, PowerPoint and Excel, and the ability to conduct Internet research.
- Knowledge of college experience, program majors, and the pre-admission and admission processes.
- Develops questions and listens to responses to determine what the prospective student needs and where they are in the admissions and registration process.
- Ability to organize and work on several assignments concurrently.
- Ability to make sound, independent judgments.
- Knowledge of college-wide referral resources for students including those who have learning or physical/mental special needs.
- Flexible and creative in meeting the individual needs of the diverse prospective and new student population.
- Ability to prepare and analyze statistical information for tracking and reporting.
- Strong organizational and planning skills with ability to prioritize and meet deadlines along with attention to detail.
- Must possess the skills to collaborate, communicate and cooperatively work with faculty, staff, and administration.
- Possess excellent written and interpersonal skills. Must have experience presenting to small and large groups.

- Ability to deal effectively with confidential information.
- Ability to work extended hours (nights and weekends), as needed.
- May travel as needed; must have a valid driver’s license.
Ideal Qualifications:
- Experience with Slate CRM
- Proficiency in training new employees and working with students
Physical Functions:
While performing the responsibilities of the Campus Experience Coordinator and Office Administrator, the employee is required to sit for varying lengths of time; bend, reach, lift, push, and pull up to 40 pounds; occasionally stand, walk, and kneel and regularly ascend/descend stairs; use hands and fingers to handle or feel and manipulate keys on a keyboard; perform extended periods of work at a computer workstation, viewing computer monitor; perceive sounds at normal speaking levels with or without correction and receive detailed information through oral communication; express and exchange ideas by means of spoken word; and work in an office setting.
